Job Description

Job Summary
Reporting to the Records Management Supervisor, the job holder will be responsible for providing support in the effective digitization of Records and Information.

Key Tasks and Responsibilities

Core duties and responsibilities

  • Supervise the management of e-records end to end and participate in establishment of metadata requirements for digitization and records.
  • Identify and address operational challenge on a day-to-day basis
  • Mentor and coach staff under yourself to ensure high motivation and performance.
  • Recommend implementation of initiatives that enhance security, safety, and integrity of records in the registry.
  • Prepare work plans for the function, to ensure its operations are aligned with Stima DTS strategy that supports the delivery of timely and quality financial services.
  • Participate in the preparation of quarterly and annual sectional reports that identify the challenges encountered, for management to develop solutions for the same.
  • Promote security of all Records and documents whether physical or electronic to ensure no access to unauthorized persons that can lend vulnerable Stima DTS position.
  • Participate in the preparation of the Function’s budget, to ensure sufficient allocation of resources necessary for the delivery of quality and timely service by the function.
  • Maintain proper e-records inventory.
  • Make recommendations on record management procedures and processes to enhance efficient service delivery.
  • Draft Quarterly Sectional reports in compliance with e-records management principles and statutory requirements financial institutions.
  • Participate in implementation of work plans for the Function to ensure realization of the function’s set objectives.
  • Must be a member, in good standing, of a related professional body.
  • Preparing appraisal and disposal schedule of files and documents in liaison with relevant agencies and functions.
Person Specifications

Academic Qualifications
  • A Bachelor’s Degree in Information Science/Records Management/Knowledge Management or in any relevant field from a recognized institution.
Experience
  • Served in the grade of Records Management Officer/Assistant or in a comparable and relevant position In the Public Service or Private Sector for a minimum period of two 4 years.
  • Attended a Supervisory Course lasting, not less than two (2) weeks from a recognized institution.
  • Demonstrated professional competence and achievement of performance targets and results as reflected in the performance appraisal.

In addition to the above requirements the officer shall have the following qualities:
  • Creativity and innovativeness.
  • Ability to work under pressure.
  • Ability to lead and manage teams.
  • Results oriented.
  • Working Knowledge of corporate enterprise systems i.e., ERP, EDMS, ECM, CBS, RFID etc.
  • Seif-driven; and
  • Meets Chapter Six (6) of the constitution of Kenya on Integrity, Honesty and Accountability.
