Job Description

Our client is seeking a motivated and organised HR Assistant Intern to support the Human Resources function in day-to-day HR and administrative activities.

The successful candidate will gain practical exposure to recruitment, employee records, onboarding, HR documentation, leave administration, staff communication and other human resource processes.

This opportunity is suitable for a recent graduate or student looking to gain practical experience and develop a career in Human Resource Management.

Key Responsibilities

  1. Recruitment Support
  • Assist with preparing and posting job advertisements.
  • Support the HR team in reviewing and organising applications.
  • Assist with shortlisting candidates based on established requirements.
  • Schedule interviews and communicate interview arrangements to candidates.
  • Maintain accurate recruitment records and candidate databases.
  • Assist with reference checks and other pre-employment processes as instructed.
  1. HR Administration
  • Assist with maintaining accurate and up-to-date employee records.
  • Prepare and organise HR documents, forms and correspondence.
  • Assist with employee onboarding and induction activities.
  • Maintain physical and electronic HR files.
  • Assist with leave records, attendance records and other employee documentation.
  • Support the preparation of HR reports and schedules.
  1. Employee Support
  • Assist with responding to routine employee enquiries and direct complex matters to the HR Officer/Manager.
  • Support internal staff communication and HR-related announcements.
  • Assist in coordinating employee meetings, training sessions and other HR activities.
  • Maintain confidentiality of employee and organisational information.
  1. HR Records & Data
  • Update employee information in HR systems and databases.
  • Assist in maintaining accurate staff registers and HR trackers.
  • Support the preparation of routine HR reports and data summaries.
  • Ensure HR documentation is properly filed and readily accessible.
  1. General Administrative Support
  • Provide administrative support to the HR department.
  • Assist with preparation, printing, scanning and filing of HR documents.
  • Support HR meetings and maintain relevant records.
  • Assist with other HR and administrative assignments as required.

Qualifications

  • Diploma or Bachelor's degree in Human Resource Management, Business Administration, Human Resources or a related field.
  • Students in their final year of study may also be considered.
  • Basic knowledge of human resource management principles and practices.
  • Proficiency in Microsoft Office applications, particularly Word and Excel.
  • Good written and verbal communication skills.

Experience

  • No prior work experience is required.
  • Previous internship, attachment or volunteer experience in HR or administration will be an advantage.
  • Exposure to recruitment, employee records or general office administration will be an added advantage.
